How far in advance should we start planning a conference or leadership summit? +

For conferences with 200 or more attendees, we recommend engaging a planning partner 9 to 12 months out. This gives us the lead time to secure the right venue, negotiate hotel blocks, and build the production without compromise. For smaller leadership summits (50 to 150 attendees), 4 to 6 months is workable. If your timeline is tighter, reach out. We have managed accelerated programs before and can tell you quickly what is and is not possible.

What geographic areas do you serve? +

We are headquartered in Miami with a New York office and a 350-plus vendor partner network across the U.S. We regularly produce conferences in New York, Chicago, Los Angeles, San Francisco, Washington D.C., Las Vegas, Nashville, New Orleans, and Miami, as well as international programs across Europe and Latin America. If your conference is in a city not listed, ask us. Coverage is rarely the issue.

What size conferences can you handle? +

We have produced events ranging from intimate 40-person leadership offsites to multi-day conferences with 2,000-plus attendees across multiple breakout rooms, general sessions, and exhibition floors. Our model is built for Fortune 500 scale without the overhead of a mega-agency. The right fit is typically a company looking for high-touch execution and a single accountable partner, not a commodity vendor.

How do you structure your fees for conference planning and production? +

We work on a project fee basis tied to the defined scope of work, not a percentage of your total event spend. This means our fee does not grow simply because your hotel rate or catering bill goes up. We provide detailed, line-item proposals so you know exactly what you are paying for and why. No hidden markups. No surprise invoices post-event.

Can you work with our existing vendors? +

Yes. If you have preferred AV partners, a venue relationship, or a catering team already in place, we integrate. We act as the production lead and single point of coordination across all vendors, including your incumbents. Our job is to make the whole program run as one, not to replace relationships that are already working.
